Billing Manager

We are seeking a Billing Manager to add to our team at Marx Okubo.

Responsibilities

  • Perform billing-related processes, from contract setup through invoice posting, in Microsoft Dynamics Finance & Operations (F&O) (formerly Dynamics AX)
  • Support project teams across the US to ensure invoices are consistently and accurately generated in a timely manner concurrent with delivery of services
  • Ensure that contract setup in F&O is performed promptly and accurately in order to capture project transactions (time and expense entry) in a way that supports accurate financial reporting and project billing
  • Supervise billing staff
  • Work closely with operations, accounting, and other departments
  • Serve as subject matter expert for billing processes within F&O
  • Maintain billing records, resolve discrepancies, verify accuracy and completeness of billing data
  • Ensure compliance with company policies and procedures
  • Assist with month-end closing processes
  • Assist with providing information for audits as needed

Qualifications, Skills, and Experience

  • Ten (10) or more years of billing experience, four years of which with Dynamics 365's Finance & Operations module
  • Bachelor's degree in a closely related field preferred. Equivalent directly-related experience may be considered in lieu of a bachelor's degree
  • Experience in the AEC industry and with aec360 software highly desirable
  • Supervisory/leadership experience required — inspiring and motivating others, delegating tasks, and making decisions
  • Ability to manage multiple deadlines across projects
  • Ability to work autonomously and as part of a cross-functional team
  • Effective communication skills, both verbal and written, with internal and external colleagues and clients as well as being a focused and engaged listener
  • Excellent attention to detail, organization, and accuracy
  • Ability to think ahead and develop effective strategies to achieve business objectives
  • Proficiency with Microsoft Word, Excel, Outlook, and Teams

Physical Requirements

  • Must be able to remain in a stationary position 50% or more of workday
  • Needs to occasionally move about inside the office to access file cabinets, office machinery, etc.
  • Operates a computer (keyboarding) and other office productivity machinery such as a calculator, copier/scanner/printer
  • Possess visual acuity adequate to perform job duties, including reading information from printed sources and computer screen
  • Will occasionally lift/force exerted up to 25 pounds
